About the client

Xbox and EA Sports needed one thing from the EA SPORTS FC 26 launch window: get lapsed players off the old title and into the new one. Edelman, lead creative and PR agency for both brands, owned the campaign idea and brought BotsCrew in to build and run the conversational layer.

The context

From January 15 to 18, 2026, EA SPORTS FC 26 was free to play on Xbox as part of the Free Play Days lineup. Four days, millions of fans who hadn't upgraded yet, and a simple challenge: get them to actually jump in. Paid ads could tell fans the game was free. Edelman wanted something fans would pass on to each other, so we brought in Toni Kroos, timing the campaign with his in-game return as an FC 26 Icon.

The idea: what if Toni Kroos invited you personally?

Kroos can't obviously message every fan himself. But a voice note from him, landing in your WhatsApp inbox, feels like he did. Edelman recorded an exclusive message from Kroos; our job was to put it in front of as many fans as possible, one chat at a time.

The mechanic had to be as simple as a tap-in from the six-yard box:

📲 A fan taps a campaign link on social or the campaign site.

💬WhatsApp opens with a pre-written message about a friend "still playing the old game." The fan hits send.

🎙️ The bot — displayed as EA SPORTS FC HQ, with Kroos's photo — replies instantly with his voice note, then one call to action. Anything sent after that gets a single fixed reply.

The fan then forwards the voice note to friends and group chats, so the invitation spreads fan to fan. The bot itself never joins a group; every share is made by a real person.

The challenge: four days, no extra time

The idea was simple. Pulling it off live, worldwide, in a fixed window was not. Development kicked off in early January 2026, leaving roughly ten days to launch.

An immovable window. Free Play Days ran January 15–18. There was no replay: whatever didn't work on day one cost a quarter of the campaign.

An unproven mechanic. Nobody had benchmarks for a one-tap, voice-note-first WhatsApp flow built to be forwarded at scale.

Ban risk on a new number. WhatsApp can suspend a fresh Business account within minutes when message volume spikes — exactly the traffic this campaign was designed to create.

Traffic with no warm-up. Viral social traffic arrives in bursts. The platform had to absorb the peak without dropping a single reply.

Our approach

We treated launch day as a fixture to prepare for. Every risk we could name, we either tested away or planned a response for.

Reuse, don't rebuild. We adapted the BotsCrew conversational platform already proven in production. That freed the team's hours for the parts that were new: the Kroos voice logic, tracking and load.

Call the risks early. Before kickoff we ran a risk analysis and told the client plainly that a new WhatsApp number could be banned under launch volume — and what we'd do if it happened.

Load-test the pitch. Dedicated stress and load scripts pushed the platform against WhatsApp's incoming-message limits well before go-live.

Keep the bench warm. The team staffed live monitoring through launch, ready to sub in a fix the moment anything broke.

The result on the delivery side: the whole build came in roughly 25% under the estimated effort, with the saved time redirected into analytics and launch coordination.

The solution

To the fan, it's one tap and a message from a legend. Behind it, every step is measured, load-tested and recoverable.

1/ Simple by design

The fan sends one pre-written line about getting a friend back onside. The verified bot, branded EA SPORTS FC HQ with Kroos's photo, volleys back instantly with his voice note. It arrives in WhatsApp's native audio format, plays on iOS and Android, and forwards cleanly to 1:1 and group chats. The recording is Kroos's own, supplied by the client — no synthetic voice.

2/ Grounded in real-time tracking

Every channel — Instagram, TikTok, YouTube, X and the campaign site — got its deep link that opens WhatsApp pre-filled. A Bitly wrapper logs the click before WhatsApp even opens. Voice-note delivery is confirmed through a tracked API call, and a second tracked link in the CTA shows how many fans followed through to the landing page.

3/ Pre-season conditioning

Dedicated stress and load scripts validated the platform against WhatsApp's incoming-message limits long before kickoff. On the day, the platform scaled to six instances and held under peak traffic without dropping replies.

The result: did it score?

The lesson from this campaign is simple: a personal message in the app fans already use beats any banner. Pair it with a platform that’s load-tested before day one, and a short launch window can become your strongest sales driver.
